Patient Participation Group

The Patient Participation Group (PPG) meets roughly every 2-3 months on a Thursday evening at the practice. The date for the next meeting is to be confirmed, and new members are always welcome.

We also welcome virtual members to the group. If you would like to be involved but cannot attend the meetings, you can participate via email instead. For more information, please email us at ivelmc.reception@nhs.net.

Patient Participation roles

Key responsibilities of officer positions:

Chairperson

The chairperson is responsible for leading the Patient Participation Group (PPG) meetings by:

  • Welcoming everyone attending the meeting and expressing gratitude for their attendance.
  • Greeting guest speakers and thanking them for their support and participation.
  • Ensuring that all patients present understand and feel included in the discussions by summarising main points and checking for clarity.
  • Asking attendees if they have any questions.
  • Coordinating with the vice chair, secretary, and practice manager regarding the content of future meetings.
  • Approving the meeting minutes with the secretary and practice manager.
Vice chairperson

The vice chairperson assists the chairperson by:

  • Providing backup information during meetings as needed.
  • Leading PPG meetings in the absence of the chairperson.
  • Taking minutes in the absence of the secretary.
  • Supporting the chairperson and practice manager in discussions about meeting content.
Secretary

The secretary is responsible for organizing meetings, sending agendas, and recording minutes. Specific duties include:

  • Convening meetings and distributing agendas.
  • Writing up minutes within 10 working days of the meetings.
  • Ensuring minutes are comprehensive and explanatory for those unable to attend.
  • Sending draft minutes to the chair, vice chair, and practice manager for approval and revisions before distribution.
  • Coordinating with the practice administrator to keep the email database updated.
  • Responding to emails from virtual PPG members and forwarding them for comment as appropriate.

All registered patients are welcome to attend any meeting of the Patient Participation Group without giving prior notice.
